RENTAL GUIDELINES
Barrie Audio Video’s rental department is committed to providing you with the most up-to-date equipment in peak operating condition as well as efficient delivery.
EQUIPMENT BOOKING/RESERVATION
Barrie Audio Video requires that all customers contact our offices at least 48 hours before the requested date of delivery or pick-up of rented equipment. Advance notice is required to ensure that Barrie Audio Video will have sufficient time to place the required equipment on reserve. Requests for additional equipment and/or changes to existing reserved equipment must be made as soon as possible. Orders requiring Purchase Order #s to appear on billing must be received prior to event date.
PAYMENT
Payment is acceptable in the forms of major credit card, money order, cashier’s check (no out-of-state checks) or cash. Payment in full upon delivery is required for all new customers. Barrie Audio Video requires 5 working days to clear any credit applications for customers who wish to establish a line of credit.
CANCELLATION AND TERMINATION OF BOOKING
Barrie Audio Video requests that customers contact the office within 24 hours regarding cancellation of reserved equipment. Cancellations received after equipment has been loaded on truck will be charged the full amount of the rental. Repeat cancellations may result in Barrie Audio Video requiring a non-refundable deposit for future rentals.
DELIVERY AND PICK-UP
All deliveries made by Barrie Audio Video will be charged the following rates according to the distance from our office:
Within a fifteen-mile radius $40.00
Within a fifteen to twenty-mile radius $50.00
Beyond a twenty-mile radius $70.00 (may also include a mileage charge)
Barrie Audio Video makes deliveries and/or pick-ups between the hours of 8:30 a.m. to 4:30 p.m., Monday through Friday (excluding holidays.) Any deliveries made outside the hours and days mentioned above will be charged an additional $15.00 per hour. Saturday and Sunday deliveries and/or pick-ups will be charged at a rate of $55.00 per hour.
INSURANCE
For the customer’s protection, an additional charge of 7% of the total rented equipment will be added automatically to every rental (unless other arrangements are made.) This insurance protection charge carries a $50.00 deductible and covers any damage resulting from incidents deemed as accidental or natural occurrences.
SERVICE PERFORMANCE
To insure a successful event, we recommend hiring technical support for your presentation. If you require assistance in using the rental equipment, instruction is available on the premises Free of charge. Off premises instruction can be arranged, but will be charged as a technical support call.
SERVICE CALLS AND TECHNICAL SUPPORT
Service call requests between the hours of 8:30 a.m. and 4:30 p.m., Monday through Friday (excluding holidays) will be charged at a rate of $50.00 per hour of service (minimum 1 hour.) Service calls outside the hours and days mentioned will be charged at a rate of $120.00 per hour of service.
Technical support requests between the hours of 8:30 a.m. and 4:30 p.m. Monday through Friday (excluding holidays) will be charged at a rate of $40.00 per hour of support. Technical support provided outside the hours and days mentioned will be charged at a rate of $60.00 per hour of support.
EQUIPMENT
All rental equipment is guaranteed operable at the time of delivery. If the equipment does not function properly during a rental period, Barrie Audio Video requests that customers contact the office immediately. Barrie Audio Video requires immediate notification in order to provide assistance or replacement equipment, and to avoid being charged the full amount of the rental. Barrie Audio Video is not responsible for customer inexperience or non-interface with existing equipment.
ABUSE AND THEFT
All equipment must be returned or picked-up in the condition in which it was received. Once rented equipment has been delivered by Barrie Audio Video or is picked up by a customer from our offices, the receiving customer becomes responsible for the equipment. This responsibility also includes the proper storage (when not in use), security, and return of all rented equipment. Stolen, lost or missing equipment will be replaced at the customer’s expense. Equipment not returned or available for pick-up at the designated time will be subject to an additional day’s rental charge.
Any use of rented equipment above, beyond and/or outside the situations and conditions for which it was designed to be used, function and/or rented will be considered abuse. This includes any damage resulting from misuse or neglect by the customer and will result in the following:
(1) Abuse to the equipment resulting in the equipment requiring service and/or repair to function properly will be paid fully by the customer.
(2) If the cost of repairing the damaged equipment equals or exceeds the cost of purchasing a new replacement unit (or the equipment is deemed not repairable), the customer will pay for the purchase of new equipment.
